Automate Hapag-Lloyd booking with Quick Quotes and Gemini reliability.

Hapag-Lloyd's Quick Quotes Spot provides a loading guarantee at origin and transshipment with a 2-day ETD window, an equipment guarantee, and instant booking confirmation on offer acceptance. For contracted lanes, the Online Business Suite handles standard rate bookings across the Gemini network — 29 mainliner plus 29 shuttle services averaging ~90% schedule reliability. Expedion agents evaluate Quick Quotes vs Quick Quotes Spot vs contract rates and route through digital channels to avoid manual amendment fees.

The manual booking process on Hapag-Lloyd

A Hapag-Lloyd booking cycle runs from schedule search through product selection, Gemini routing evaluation, and amendment management — with per-country fee structures and a three-way product choice that shapes loading certainty.

  1. 01

    Search schedules on OBS

Enter origin and destination port pair, cargo type, and target dates on the Online Business Suite. Review available Gemini services — 29 mainliner and 29 shuttle across the major East-West trade lanes. The DCSA Commercial Schedules API (live since June 2025) is also available at api-portal.hlag.com for TMS-integrated schedule queries covering port-to-port and inland pre/on-carriage locations.

  2. 02

Choose between Quick Quotes, Quick Quotes Spot, and contract rate

For contracted lanes: standard contract rate via OBS or EDI. For ad-hoc shipments requiring loading certainty: Quick Quotes Spot (shorter validity, loading guarantee at origin and transshipment, equipment guarantee, 2-day ETD window, instant confirmation on acceptance). For exploratory quotes needing customer review: standard Quick Quotes (longer validity, reusable within the validity window). Optional Shipping Guarantee add-on available for standard Quick Quotes to add loading certainty without moving to Spot.

    Pain point

The Quick Quotes vs Quick Quotes Spot vs Shipping Guarantee decision is a three-way choice. Quick Quotes Spot includes the loading guarantee by default; standard Quick Quotes requires a separate Shipping Guarantee add-on for loading certainty. Junior ops staff may not understand when to use each product.

  3. 03

    Configure booking details

Enter container type, count, cargo details, DG flag (if applicable), and preferred departure date. For Quick Quotes Spot: instant confirmation on offer acceptance. Review the Gemini service string, hub routing (Tangier, Salalah, Algeciras, SCCT, Damietta from April 2026), and whether Cape of Good Hope routing applies.

  4. 04

Evaluate Gemini routing and hub transshipment

Bookings route through Gemini's hub-and-spoke network. Hub ports include Tangier (primary call at APM Terminals MedPort Tangier), Salalah, Algeciras, SCCT at Port Said, and Damietta (DACT, from April 2026). Cape of Good Hope applies for most Asia-Europe and Mediterranean services. Factor the hub transit and Cape routing into total transit time and ETA commitments.

    Pain point

Forwarders moving from THE Alliance schedule to Gemini may still use pre-Gemini transit time benchmarks. The hub-and-spoke model adds transshipment events, but overall reliability (~90%) is materially higher than THE Alliance's pre-transition figure.

  5. 05

    Submit booking and await confirmation

Submit through OBS, EDI (INTTRA, Infor Nexus, CargoSmart), or local Hapag-Lloyd offices. Quick Quotes Spot provides instant confirmation. Contract and standard Quick Quotes follow standard confirmation timelines. Route through digital channels to avoid the Manual Booking Amendment Fee (EUR 80/booking in Spain for email/phone amendments).

  6. 06

    Handle amendments and cancellations

From 1 April 2025, Quick Quotes Spot-specific cancellation, no-show, and amendment fees were retired in favour of local booking rules. General amendment fees per-country: Spain EUR 80/booking for manual amendments by email or telephone (BOO/L011). Roll-over fees: Spain EUR 35/booking pre-GIFU (gate-in for unloading), EUR 75/TEU post-GIFU. US: USD 25/container for any reduction, roll, or cancellation within 3 days of FCL cut-off.

    Pain point

Amendment fees are per-country with different thresholds and triggers. The pre-GIFU vs post-GIFU fee differential in Spain (EUR 35/booking vs EUR 75/TEU) can be material on multi-container bookings. No single global cancellation or amendment rule applies.

Gemini network and value-added services

Hapag-Lloyd bookings route across the Gemini Cooperation network — a hub-and-spoke vessel-sharing arrangement with Maersk, effective 1 February 2025. Hapag-Lloyd operates approximately 40% of the fleet; Maersk operates 60%. The network runs 29 mainliner services and 29 shuttle services across the major East-West trade lanes.

Hub ports include Tangier (primary call at APM Terminals MedPort Tangier; HGT participates in TC3 within the same complex), Salalah, Algeciras, SCCT at Port Said, and — from February 2026 — Damietta (DACT, operated by Hanseatic Global Terminals). April 2026 service changes: NE2 adds a direct call at Antwerp; NE3 introduces a Baltic rotation (Aarhus, Gothenburg) with Southampton as final European outbound and Yantian replacing Ningbo in Asia; SE3 upgrades to 20,000 TEU vessels, calls Port Said and the new Damietta hub, with Istanbul and Izmit served via dedicated shuttles.

Most Asia-Europe and Mediterranean services route via the Cape of Good Hope. A full Suez return remains calibrated to security conditions, not a fixed date. Cape routing adds approximately 10–14 days of transit time. Schedule reliability averaged approximately ~90% across the first year of Gemini operations (Sea-Intelligence GLP data), with Asia–North Europe and Transatlantic exceeding 95%. This is a Gemini Cooperation figure, not a Hapag-Lloyd standalone metric.

Hapag-Lloyd offers seven value-added services bookable through the Online Business Suite: Shipping Guarantee (loading certainty add-on for standard Quick Quotes), Additional Freetime Destination (up to 15 days pre-purchased, non-refundable), Live Position (IoT GPS per-container tracking, available to both shipper and consignee in selected countries including India), Ship Green (25%, 50%, or 100% biofuel emissions avoidance via book-and-claim, dry cargo only at launch), Cargo Shield (extended BL liability beyond standard Hague-Visby terms), Controlled Atmosphere (reefer add-on for perishables), and Customs Clearance (integrated in supported geographies).

Where Hapag-Lloyd booking errors happen

The most common Hapag-Lloyd booking fee triggers and operational traps, based on published fee structures and observed operational patterns.

Quick Quotes Spot loading guarantee exception

Occasional

The loading guarantee does not hold due to an exception condition. The customer receives 'loading priority' on the next available sailing — not compensation. Hapag-Lloyd does not publish a rollable compensation mechanism comparable to Maersk Spot's two-way guarantee. Remediation: understand the guarantee's terms before committing; for time-critical cargo where rollover is unacceptable, evaluate whether loading priority provides sufficient protection.

Pre-Gemini transit time assumption

Common

Forwarder uses THE Alliance-era transit times for a Gemini-routed booking. Gemini's hub-and-spoke design has different port rotations, hub transshipments (Tangier, Salalah, Damietta), and a materially different reliability profile (~90% vs THE Alliance's pre-transition figure). Remediation: rebaseline all transit time assumptions to the Gemini network, particularly for April 2026 service changes.

Cape routing transit time underestimate

Common

ETA committed based on Suez-era benchmarks. Actual routing is Cape of Good Hope, adding 10–14 days on Asia-Europe and Mediterranean services. A full Suez return remains tied to security conditions. Remediation: default to Cape transit times unless the specific service has confirmed Suez routing.

Manual amendment fee triggered

Common

Booking amendment submitted via email or phone instead of OBS or EDI. Spain charges EUR 80/booking (BOO/L011). Remediation: route all amendments through digital channels.

Post-GIFU roll-over cost spike

Occasional

Customer roll-over after gate-in at terminal (post-GIFU) triggers EUR 75/TEU in Spain — materially more than the pre-GIFU EUR 35/booking. On a 4-TEU booking, the post-GIFU cost is EUR 300 vs EUR 35 pre-GIFU. Remediation: finalise booking amendments before GIFU deadline.

DG booking without pre-classification

Occasional

DG flag ticked on the booking but DG classification review not initiated at booking stage. Booking stuck pending DG approval with no published SLA from Hapag-Lloyd. Remediation: initiate DG classification at booking stage, not documentation stage.

Product mismatch

Occasional

Forwarder books standard Quick Quotes when they need loading certainty (should have used Quick Quotes Spot or added Shipping Guarantee). Cargo rolled on a congested lane. No compensation mechanism on standard Quick Quotes. Remediation: evaluate loading guarantee needs before product selection.

How Expedion agents handle Hapag-Lloyd bookings

Expedion agents automate the end-to-end Hapag-Lloyd booking workflow, from rate evaluation to confirmation and amendment management.

Product evaluation

Agents compare Quick Quotes, Quick Quotes Spot, Shipping Guarantee add-on, and contract rates. The decision is surfaced to the forwarder's reviewer with trade-offs pre-analysed: price validity (Quick Quotes longer, Spot shorter), loading guarantee (Spot only, or Quick Quotes + Shipping Guarantee), equipment guarantee (Spot only).

Gemini routing calibration

Agents evaluate available Gemini services, factor in Cape routing transit delta for Asia-Europe and Mediterranean lanes, and flag April 2026 service changes (NE2 Antwerp, NE3 Baltic/Yantian, SE3 Damietta) on affected bookings.

ETA commitment accuracy

Agents calibrate ETA to Gemini reliability baseline (~90% mainliner, 95%+ on Asia-North Europe and Transatlantic) rather than a generic East-West average or pre-Gemini THE Alliance figure.

Amendment and cancellation management

Agents route all amendments through OBS or EDI to avoid the Manual Booking Amendment Fee. Pre-GIFU amendments are prioritised. The roll-over fee differential (Spain: EUR 35 pre-GIFU vs EUR 75/TEU post-GIFU) is surfaced to the reviewer before submission.

DG pre-classification coordination

For DG bookings, agents initiate classification review at booking stage and track approval status proactively. Hapag-Lloyd does not publish a DG approval SLA, so agents monitor turnaround and escalate when it exceeds expected norms.

Value-added service advisory

Agents surface relevant add-ons based on booking characteristics: Shipping Guarantee for standard Quick Quotes on congested lanes, Additional Freetime Destination for shipments with uncertain pickup timing, Live Position for high-value or visibility-critical cargo, Ship Green for sustainability reporting.

Cape vs Suez routing awareness

Agents flag time-sensitive cargo on traditionally-Suez lanes and surface the Cape-routing transit-time delta to the reviewer before booking confirmation, so the commercial team can set consignee expectations.

TMS compatibility for Hapag-Lloyd booking

Expedion agents place Hapag-Lloyd bookings from within your existing TMS. For CargoWise users, agents exchange booking data via the eAdaptor and submit through the Online Business Suite (OBS) or EDI via INTTRA, Infor Nexus, or CargoSmart. For GoFreight, agents use the REST API for forwarder-side data exchange, with Hapag-Lloyd's DCSA-aligned API at api-portal.hlag.com handling the carrier-side integration. For Magaya, agents use Magaya Connect's carrier API mapping. The DCSA Commercial Schedules API (live since June 2025) feeds schedule data into the quote flow; booking submission itself is not a DCSA standard.

Quick Quotes and Quick Quotes Spot route through OBS or EDI, not a separate booking API. Quick Quotes Spot includes a loading guarantee at origin and transshipment with a 2-day ETD window, but the fallback is "loading priority" on the next sailing without published compensation (unlike Maersk Spot's Rollable Compensation Fee). Expedion agents capture the Quick Quotes Spot rate at quote time and return the booking confirmation to the TMS so contract and spot records line up. Full TMS compatibility details are on the Hapag-Lloyd overview page.

Frequently asked questions

How does Quick Quotes Spot compare to Maersk Spot?

Both are digital spot-rate booking products with loading guarantees, but they differ in commitment structure. Hapag-Lloyd Quick Quotes Spot includes a loading guarantee at origin and transshipment ports with a 2-day ETD window, plus an equipment guarantee. Maersk Spot provides instant booking confirmation within 25 seconds and a two-way loading guarantee — loading on the booked vessel +/-3 days from ETD, or compensation. Quick Quotes Spot's fallback when the guarantee cannot hold is 'loading priority' on the next available sailing, without published compensation. Maersk Spot publishes a Rollable Compensation Fee per FFE.

Does Quick Quotes Spot include a loading guarantee?

Yes. Quick Quotes Spot includes a loading guarantee valid at the origin port and the transshipment port, within two days before or after the confirmed ETD. If an exception applies and the guarantee cannot hold, the customer receives loading priority on the next available sailing — not compensation. The guarantee also includes an equipment guarantee ensuring container availability. From 1 April 2025, Quick Quotes Spot-specific cancellation, no-show, and amendment fees were retired in favour of local booking rules.

What is the Shipping Guarantee add-on?

Shipping Guarantee is an optional add-on for standard Quick Quotes bookings that adds loading certainty without moving the booking onto Quick Quotes Spot. It is useful when a forwarder wants the longer rate validity of standard Quick Quotes plus the loading commitment that Spot carries by default. The fee is published on Hapag-Lloyd's Shipping Guarantee tariff page.

What are Hapag-Lloyd's booking amendment fees?

Amendment fees are per-country, not global. From 1 April 2025, Quick Quotes Spot-specific amendment fees were dropped in favour of local booking rules. Spain charges EUR 80/booking for manual amendments by email or phone (BOO/L011). Roll-over fees in Spain: EUR 35/booking pre-GIFU (gate-in), EUR 75/TEU post-GIFU. USA: USD 25/container for any reduction, roll, or cancellation within 3 days of FCL cut-off.

How does Gemini's hub-and-spoke affect booking transit times?

Gemini operates a hub-and-spoke network with hub ports at Tangier, Salalah, Algeciras, SCCT, and Damietta (from April 2026). Shipments transit through these hubs via shuttle-mainliner-shuttle connections, which adds transshipment events compared to direct services but delivers materially higher reliability (~90% average, 95%+ on Asia-North Europe and Transatlantic). Most Asia-Europe and Mediterranean services route via the Cape of Good Hope, adding 10–14 days vs Suez routing. Transit time assumptions should reflect both the hub transit and the Cape routing delta.

What changed about Quick Quotes Spot fees on 1 April 2025?

From 1 April 2025, Hapag-Lloyd retired the Quick Quotes Spot-specific cancellation, no-show, and amendment fee layer. All Quick Quotes Spot bookings now follow local booking rules — the same per-country amendment and cancellation fee schedules that apply to standard bookings. This simplifies the fee structure for forwarders who book across multiple geographies.
